How to Invite Team Members to Your Inkfree Account
Everyone gets their own login; that's non-negotiable for a clean audit trail. New to how an Inkfree account is put together? Start there. Inviting takes a minute per person.
Inviting
1. Open Settings → Teams.
2. Click Send Invite and enter each colleague's first name, last name and email address.
3. Assign each person one or more roles: Admin or one of your custom roles.
4. Click Send. They receive an email invitation and appear in the member list right away with the status Invited.
After You Invite
• Invited until they finish setting up. The status changes to Active once the person completes their account setup by setting a password, signing in through SSO for the first time, or registering a passkey. Just opening the email is not enough.
• Invitation links expire after 7 days. After that, the link shows "This invitation has expired. Please ask your administrator to resend it." If a teammate missed the window, contact support to have a new invitation sent, and point them to what to do if an invitation link has expired.
• An invited user already uses a seat. Seats are counted from the moment you send the invitation, not when it is accepted.
• Don't add the same person twice. Inviting an email address that is still waiting to accept is refused, so you never end up with duplicate accounts.
Adding Them to a Workspace
Inviting someone adds them to your account. If you divide the account into workspaces, add the new member to each workspace they need from Settings → Workspaces, and choose their role there. See how to create and switch workspaces.
Before You Invite
• Check your seats. Standard supports up to 5 users; Business goes beyond. The Teams page shows how many of your purchased seats are in use, and pending invitations count. If you're full, add seats first in Settings → My Plan.
• Have roles ready. Creating "Sales Sender" before inviting five salespeople beats assigning Admin "temporarily" (temporary Admin never is).
• Match your access policy. Where IT owns the rollout, mirror the groups you already provision in your other systems so joiners and leavers stay in sync everywhere.
