What Is an Inkfree Workspace?

Your workspace is the shared account your whole team works in. One subscription, one member list, one set of rules, and a single audit trail covering everything the team sends.

Who Is In It

Everyone works under their own login. That is not a preference, it is what keeps the audit trail clean: every action on every document names the person who took it, not a shared mailbox.

You add people from Settings → Teams by entering their email address and assigning a role. They get an email invitation, and once they accept they appear in the member list and can start working straight away.

What Each Member Can Do

Access is set by role, not per person. Open Settings → Roles (under Organization) and you have two kinds:

  • Admin, the built-in role, with full access to the app, billing, the team, and settings.
  • Custom roles you create yourself, defined permission by permission against each resource. You decide whether a role can send sign requests, delete them, or only view them, and whether it can build templates or only send from templates someone else built.

The usual approach is to name a role after the function rather than the person, so "Sales Sender" or "Finance Viewer" keeps making sense after somebody changes jobs.

What Applies to Everyone

Some settings belong to the workspace rather than to a single request, so the right behavior becomes the default instead of something each sender has to remember:

  • Document defaults at Settings → Document Settings (under Organization): the default expiration window, the default reminder cadence, and the signing defaults new requests start from. See how to configure them.
  • Security policies at Settings → Security Policies, applied across every user rather than left to individual habit.

Every request your team creates starts from these, so setting them to your standard operating procedure is usually the highest-value hour an admin spends.

How It Relates to Billing

Members occupy seats on your plan. Adding a person may add a seat, and reducing your seat count or letting a payment lapse can deactivate member accounts until it is resolved. Seats and members are managed separately: the seat count lives with the subscription, the people live in the member list.
