How to Personalize Documents Within a Bulk Send

Last Updated: Oct 21, 20263 min read

Bulk doesn't have to mean generic. Each recipient's copy can carry their own details, such as a start date, salary or territory, filled in automatically from your recipient list.

How Personalization Works

Inkfree matches values to fields by name. Every fillable field in your document gets a column in the CSV template, named after the field's label. Whatever you put in that column for a recipient appears in that field on their copy. There is no separate mapping step.

Setting It Up

  1. In the Sign Request Editor of your bulk send, place a text field wherever a recipient's own value should appear, and give it a clear label such as "Start Date" or "Region". Two fields with the same label share one column, which is useful when a value appears on several pages.
  2. On the Recipients step, click Download CSV template. Each labeled field now has its own column next to name and email.
  3. Fill the columns for every recipient.
  4. Upload the file. Inkfree checks every value against its field, for example that it fits the field's length or matches one of a dropdown's options, and flags any row that does not.

To rename a column, change the field's label and download the template again. A header Inkfree does not recognize stops the upload.

What Each Recipient Sees

Their own copy with their own values: the offer confirmation shows their start date, the agreement names their territory. The rest of the wording is identical on every copy, and each copy is signed and completed separately.

Keep Personalization to Values

Personalize facts, not terms. If two recipients need different clauses, they need different documents, not different values in the same field. Keeping the wording identical is what lets you show later that everyone agreed to the same text. For the field types you can use, see supported field types explained.

Tip: Format values in the CSV exactly as they should print ("$85,000", not "85000"; "March 2, 2027", not a spreadsheet date number). The field shows the value verbatim.
