How to Track a Bulk Send Campaign
Four hundred individual requests would be chaos to track one by one, so every bulk send is grouped into a batch with its own page.
Finding Your Batches
Open your Sent list and click the Batches tab. Each batch shows its name, the number of recipients, how many failed, a progress bar and its status. Expand a row for a quick look at the first few recipients, or click Open batch for the full page.
The Batch Page
The batch page shows the batch's status (Queued, Sending, Completed, Completed with errors or Canceled) and a progress bar split into sent, sending, queued, failed and canceled rows. While a batch is going out, the page updates itself every few seconds.
Below it is one row per recipient with Recipient, What happened and Status columns. Filter the rows with Needs fixing, Queued, Sent, Canceled or All. The page opens on Needs fixing, so problems are the first thing you see.
Exporting the Results
Click Export CSV to download every row with its name, email, status, sent time, request ID and any error. It is useful for reporting back to HR or compliance, or for fixing a list in a spreadsheet.
Following Signing Progress
The batch page tracks sending: whether each copy went out to its recipient. Once a copy is sent, it is a normal sign request, and its signing progress is tracked on the request itself. Open it from your Sent list to see who has viewed and signed, send a reminder or read its audit trail. See how to track the status of a sent document.
If your bulk send has a Same for all signer, such as a manager who countersigns every copy, Your signing queue on the batch page lists the copies waiting for you, oldest first. Click Open the first and work down the list.
Retrying, Canceling and Voiding
- Retry failed appears when a finished batch has failed rows. It resends every failed row as it is. See why some bulk send recipients fail.
- Cancel sending appears while a batch is queued or sending. It stops the rows that have not gone out yet; copies already sent are not affected.
- To withdraw a copy that was already sent, open that request and void it. Sent copies are voided one at a time; there is no option to void a whole batch.
Tip: Check the batch soon after you send. Failed rows show up as the send reaches them, and fixing them the same day keeps your completion rate high.
